Troop 1 Parents Meeting

1) Meeting called to order by Jon Beyer

2) Attending:  Jon Beyer; Greg Kent; Chris Klaren; Tim Klein; Francis McElroy

3) Approval of previous meeting minutes - approved

4) Reports:

·         Scoutmaster – no report

·         Secretary – Activity attendance (campouts, fundraisers, service) are not being kept up to date.  It is difficult to determine advancement status without good records.  We need to develop a standard procedure to make sure this information is available to enter into our troop records.  Greg will keep records for campouts he attends, make other arrangements.  Some discussion on other activities, but no decisions were made.

·         Treasurer

·         Treasury balance – $7,322.96 (General Fund $2,837.47, Scoutmaster Fund $1423.13, Scout Accounts $3,062.36)

·         Funds needed for annual operations, possible increase in Scout share of pop can profit:  Michelle provided information that shows operating expenses for the troop in 2008 were $2243, and gross pop can proceeds were $4118, excluding the large November collection.  Chris will gather and work with a small group of troop adults to analyze the data and make recommendations for the Scouts’ share of the profits at an upcoming parents meeting.

·         Outdoor/activities coordinator

·         Red Flannel campout, Ingawanis, Dec 13-14.  The weather did not cooperate, not providing the 24 hours of 32F or colder weather needed for the award.  However, with 9 Scouts and 5 adults there was a good turnout and a lot of fun.

·         St. Ed’s Christmas mass set up, Dec 21 – will set up the church basement at our normal meeting time, 6:45 PM, and there will be no troop meeting.

·         Klondike Derby, Jan 10 – some discussion about tying in with a Red Flannel campout the previous night.

·         Advancement coordinator

·         Advancement activities – no activity

·         District Swim Program, update – no report

·         Chaplain

·         Training coordinator

·         Equipment coordinator – due to issues with the new stoves which appear to work better for grilling than heating water, the group approved the purchase of 2 new camp stoves.  Jon will get with Dana to get them ordered.

·         Fundraising coordinator

·         Pop can collection fundraiser, Nov 29 report, next on Jan 3.  The November collection was reportedly very big, the next is planned in January.

·         UNI Dome concessions, update – Has been going well, check the troop web site for openings, call Francis to schedule.  UNI Concessions has been pleased with our work.  Thank you Francis for coordinating this and making it a success.

·         Fall popcorn sales update – no report

·         Wreath sales update – Sales of $2,126.25, profit of $425, 9 Scouts selling.

·         Pancake breakfast troop fundraiser, Jan 18 – on schedule, proceeds will be used to help cover Sea Base travel expenses.

·         Membership coordinator – Jon talked to Tom Kneeland, Pack 25 Cubmaster, and they are holding crossover on Feb 8.

·         Round Table Update – no December Roundtable.

5) Old Business

·         Parent sign-up calendar, update – Jan 31 is covered, still working on Feb.

·         Activity slips, update – no update, to be removed from future agendas

·         New parent leadership for the troop & additional assistant Scoutmasters – working on it

·         Boundary Waters, summer 2009 – no report

·         High adventure activities, update on Sea Base 2009 – Sea Base meeting 14Dec, flight reservations have been made for June 10, working on remaining details.

·         National Jamboree, July 2010, update – no report

6) New Business

·         Flapjackers Pancake Breakfast – believe it is scheduled for March 7, 2009.  The group decided that Scouts will receive 100% of the profits from their sales this year.  Previous years split was 70% Scouts, 30% troop.  This should be decided each year prior to selling tickets.

·         Tri-Eagle Court of Honor, Feb 1 – A court of honor has been scheduled for Drew Beyer, Nick Davis, and Alex Potter on Feb 1 at 1:00 PM.  This coincides with the St. Ed’s observation of Scout Sunday on the same day.  It also conflicts with the cross-country ski weekend, and there was discussion about either changing the campout to Friday night/Saturday, or making it a one day downhill event.  Decision pending further discussion with troop.

7) Announcements                             

·         Next parents meeting Monday, January 12, 2009 at AJ’s Eatery & Spirits (by Target), meeting starts at 7:00 PM.
